, a consolidated facility management/infrastructure service organization, is seeking a meticulous and organized Account Administrator to join our facilities Management team at out location in San Diego, CA.
The Account Administrator will play a crucial role in supporting the efficient operation of our facilities by managing administrative tasks, ensuring accurate financial tracking, and maintaining effective communication with both internal teams and external vendors.
The ideal candidate will possess strong organizational skills, an understanding of financial processes, and a customer-focused attitude.
Responsibilities:
Financial Tracking:
Monitor and manage financial transactions related to facilities, including invoices, purchase orders, and expenses.
Ensure accurate record-keeping, reconciliation, and reporting of financial data.
Vendor Management:
Collaborate with vendors, suppliers, and service providers to facilitate seamless facility operations.
Maintain vendor relationships, address inquiries, and resolve issues promptly.
Cost Management:
Maintain accurate and up-to-date account information for various facility-related expenses, such as utilities, maintenance contracts, and repair services.
Data Entry and Analysis:
Enter and maintain data related to facilities expenses, budgeting, and usage.
Assist in generating reports and analyses to support decision-making.
Administrative Support:
Provide administrative assistance to the Facilities Management team, including scheduling meetings, managing calendars, organizing documents, and facilitating communication.
Budget Support:
Assist in the development and monitoring of facility-related budgets.
Collaborate with the finance team to ensure accurate financial projections and adherence to budgetary constraints.
Documentation:
Maintain accurate and organized documentation related to facilities, including contracts, agreements, and maintenance records.
Problem Solving:
Identify and resolve discrepancies, issues, and inefficiencies related to facilities management processes.
Provide solutions to enhance operational effectiveness.
Compliance:
Ensure compliance with company policies, industry regulations, and legal requirements related to facilities management and financial processes.
Customer Service:
Provide exceptional customer service to internal stakeholders, addressing inquiries and requests in a timely and professional manner.
May be required to perform additional or different duties from those set forth above to address business needs and change business practices
Qualifications:
Must have experience with;Microsoft office (excel, word, PowerPoint, outlook, etc.
)vendor collaboration vendor invoicing AP/AR scheduling meetings, taking meeting minutes, coordinating calendars for executives Data entrycollaboration with internal departments and clientscustomer service and customer requests At least 5 years of administration experience Able to work with different software systems (Mac, Windows, etc.
)Salary Range:
$80k-85kU.
