As an Administrative Coordinator in our Operations department, you will play a critical role in ensuring the smooth and efficient functioning of our office and administrative operations.
This position requires a detail-oriented, proactive, and well-organized individual who can handle various administrative tasks and provide exceptional support to internal and external employees and customers.
Essential Job Functions:
We are seeking a highly organized and analytical Administrative Coordinator with excellent communication and problem-solving skills to manage office duties and administrative operations.
The successful candidate will handle interdepartmental communications, perform various office tasks, respond to inquiries, and oversee all administrative functions for the company.
Primary
Responsibilities:
Handle a high volume of inbound calls (75-150 daily) efficiently, transferring callers to the appropriate individuals, taking accurate messages, and providing information as needed.
Greet visitors and callers, addressing their inquiries and directing them to the appropriate persons according to their needs.
Process various applications and mail with meticulous attention to detail.
Create, maintain, and enter information into databases, completing forms in accordance with company procedures.
Assist with planning, executing, and dismantling a wide variety of events.
Schedule and confirm appointments for clients, employees, and supervisors, including managing conference room calendars.
Manage all incoming mail and financial correspondence, distributing them to the correct team member.

Qualifications:
High school diploma or equivalent.
At least 1 year of experience in the administrative support field.

Responsibilities:
- Provide administrative support to the team and management - Manage calendars, schedule meetings, and coordinate appointments - Prepare and proofread documents, reports, and presentations - Type and transcribe correspondence, memos, and meeting minutes - Assist with project coordination and tracking progress - Serve as a point of contact for internal and external stakeholders - Handle front desk duties such as greeting visitors and answering phone calls - Perform office management tasks such as ordering supplies and maintaining inventory - Utilize computerized systems for data entry, record keeping, and document management - Assist with basic bookkeeping tasks using QuickBooks Skills:
